The BEST Tools For Coaches | Coaching Tools To Manage Your Business

Now, there are a lot of online coaching tools out there, and I get how you may be feeling confused and overwhelmed. 

 

I remember when I first started and wasn’t sure what I needed and where to spend my money. The time, energy, effort and money I spent testing out tools was a really frustrating process.

 

What I learned throughout this process is that mastering business tools and systems is the best way to drive your business forward, friend. Behind every profitable online coach is a simplified business model full of automation & the best tools!

Best Business Tools #1: Tools To Simplify

Running an online business doesn’t have to feel hard. Use these tools to simplify your business flow.

 

THE CONTRACT SHOP

First up is The Contract Shop. With the Contract Shop you can legalize your coaching business in 5 minutes!

 

The Contract Shop is my go-to resource for all the things!  Especially:

• Website Terms, Conditions & Privacy Policy
• 1:1 coaching agreements
• Mastermind and Membership Contracts
• Earnings Disclaimers
• Independent Contractor Agreements

 

 

ASANA

The next tool to simplify is Asana. Asana is my favorite project management and team communication tool. You can use Asana to easily:

• check project progress
• create content funnels
• build a social media strategy
• share content with clients & students
• plan & manage product launches

...and so much more!

If you’ve heard of Trello and Monday… it’s a lot like them, only better in my opinion!

 

ACUITY SCHEDULING

My next favorite tool is Acuity Scheduling.  I use Acuity Scheduling to simplify my calendar and scheduling processes.

 

All my calls get booked through Acuity Scheduling - from discovery calls, to coaching calls, to biz bestie coffee dates.

 

Also, having the reminder emails that go out automatically before a call or meeting has been a lifesaver and reduced my no-shows to nearly zero!

 

The beauty of Acuity Scheduling is that it's extremely customizable so you can make your confirmation emails and overall scheduling page design completely YOU.

 

I also keep all my client meeting logs in here too! This helps me track how many calls they’ve had and notes from each call.

 

LATER

Speaking of scheduling, I’ve previously used Later as my one-stop-shop to schedule social! 

 

You can plan and schedule out months worth of Facebook and LinkedIn posts, as well as Instagram posts & stories, and Pins for Pinterest.

 

I love their additional analytics and grid planning feature. However the best thing about this tool is its ability to ‘save captions’, essentially allowing you to create collections of hashtags for different uses on your posts.

 

TAILWIND APP

Next let’s move on to what I currently use for scheduling which is Tailwind App.

 

Tailwind is my absolute favorite way to increase my influence through Pinterest. It’s an incredibly powerful Pinterest scheduling tool, which I also use for Instagram, and it allows me to save hours of time each week scheduling to grow my account and skyrocket my website traffic.  

 

 

TUBEBUDDY & KEYWORDS EVERYWHERE

Now these next two tools are ones that I use daily to be sure that my ideal clients are searching for the topics in my niche! They are Tubebuddy/Keywords Everywhere and they both have similar functions but work on different platforms. 

 

It’s important to know that just because you have badass products, programs and services doesn’t mean anyone is actually searching the specific terms or language you’re using to market them. 

 

That’s why it’s so so so important to focus on SEO research, to make sure that people are searching for the topics you’re choosing for your video content. 

 

How do you know what is searchable? Tubebuddy and Keywords Everywhere show you! I use Tubebuddy to search keywords, gain a competitive advantage, and rank on the first page of Youtube.

 

And I use Keywords Everywhere to show how many people per month are searching that keyword on google.

Best Business Tools #2: Tools To Support

So often as coaches we do all the things and wear all the hats. I know how hard it can be to delegate in the beginning.  Our minds tell us things like:

-I don’t have the money for that.

-Or I can do it better and faster. 

 

You’re not alone, Coach. Use these tools to feel supported and start building your team (without breaking the bank)!

 

FIVERR

First up is Fiverr! Fiverr is a freelancer marketplace that you can use to hire independent contractors for almost ANYTHING you need in your coaching business starting at five bucks!

 

You can’t beat that!

 

I’ve used them for:

• youtube thumbnails
• merch design
• custom meditation music

... and so much more.  

 

ONLINE JOBS PH

Then my next secret weapon is Online Jobs PH. This is THE place to be to hire an inexpensive virtual assistant.

 

Don't be fooled by the low price point.  These gems are in the Philippines where the cost of living is less.

 

That means quality work at a fraction of the price! These are a couple of the most inexpensive ways to outsource.

 

KAPA99

Another one of my fave’s if you’re not great at graphic design is Kapa99. This is a great option for you if you are looking for a graphic designer for a fraction of the cost.  

 

UPWORK

And then finally, and one of the resources I use the most is Upwork! This has been one of my favorite hiring sites to date! It has high quality freelancers that can do anything you may need in your coaching business.

 

I've found my video editor, sales funnel expert, copywriter, and social media manager on Upwork.

Best Business Tools #3: Tools To Scale

⁣Now these last set of tools are for the online coaches who are 100% committed to having a hands-off approach in their business. Use these tools to support you in automating everything and scaling your business! 

 

KAJABI

Kajabi is the all-in-one online platform I use to create, market and monetize my online coaching business. 

 

My clients and I use Kajabi to package, sell, and deliver digital products... as well as for membership sites, and exclusive forums. 

 

I also use Kajabi for my:

• entire website
• email provider
• sales funnels
• sales pages
• landing pages

... and honestly so much more.

• Want to automatically post your Instagram post to a Pinterest Board? Zapier will do it.
• Want to send yourself a celebratory text message when a client pays their invoice? Zapier will do it!
• Want to import all your orders into a spreadsheet so you can stay organized? Zapier will do it.
• Want to put a file in a folder on your desktop and have it be added to a project in Asana? Zapier will do it!

 

But really! I have nearly 100 zaps set up and running pieces of my business for me. Start with the free plan and then upgrade when you’re ready. It’s worth every penny!
